Terms of Service

These terms govern use of the Mongu Trades Training Institute website, applicant services, student and staff portals, and integrated ERP functions made available through mongutradesinstitute.com.

Important: The platform is an institutional service. Access to specific functions depends on a user's role, authorization and status with MTTI. These terms do not replace formal admission letters, academic regulations, employment conditions, finance rules, examination regulations, or other approved institutional policies.

1. Acceptance of These Terms

By accessing or using the MTTI website or integrated ERP services, you agree to use the platform lawfully, responsibly, and in accordance with these Terms of Service, the Privacy Policy, and applicable institutional rules. If you use the platform on behalf of MTTI in an official role, you must act within the authority granted to you.

2. Description of the Service

The platform may provide public information and authenticated institutional services including applications, admissions, registration, course and programme administration, timetables, attendance, assessment and results, accommodation processes, appeals, learning materials, staff and lecturer functions, administration, reporting, exports, announcements, account management, and system-generated communications.

Features may be introduced, improved, restricted, retired or reconfigured as institutional requirements evolve.

5. Institutional Records and Accuracy

Users are responsible for information they submit. MTTI personnel who create, approve, correct, delete or export records must act within institutional policy and their assigned role.

Information displayed in the ERP is intended to support official institutional operations. Where there is a conflict between an online display and a formally approved institutional record, decision, regulation, signed document, or lawful directive, MTTI may investigate and correct the system record according to its governance procedures.

6. Academic and Administrative Decisions

The ERP facilitates workflows; it does not independently determine admission, graduation, disciplinary outcomes, academic progression, employment status or other institutional decisions unless MTTI has formally approved an automated rule for that purpose. Authorized institutional officers remain responsible for decisions requiring human approval.

7. Uploaded Content and Documents

Users may upload documents only where the platform permits and only where they are entitled to provide those documents. Users must not upload unlawful, malicious, defamatory, infringing, or unrelated material. MTTI may remove content that violates institutional policy, law, security requirements, storage limits, or the purpose of the relevant service.

8. Privacy and Personal Data

Use of personal information through this platform is governed by the MTTI Privacy Policy. Users who process information in an official capacity must protect confidentiality and use personal data only for authorized institutional purposes.

9. Google-Enabled Email Services

The platform may use Google's Gmail API to send authorized institutional messages such as password-reset emails, account notifications, and other transactional communications. The current email function is designed around Gmail sending permission and is not intended to read users' personal Gmail inboxes.

Use of Google APIs is additionally subject to applicable Google terms and policies. Details of MTTI's Google user-data practices are provided in the Privacy Policy.

10. Intellectual Property

Institutional names, logos, documents, course materials, data, forms, reports and other content may be protected by law, institutional policy or contractual rights. Users receive only the rights necessary to use the service for their authorized institutional purpose.

Third-party frameworks, libraries, APIs and cloud platforms remain subject to their respective licences and terms.

11. Availability, Maintenance and Changes

MTTI aims to keep the platform available and reliable, but uninterrupted availability is not guaranteed. Planned maintenance, security updates, internet outages, cloud-provider incidents, third-party API changes, emergency repairs, power/connectivity conditions, or other events may temporarily affect access.

MTTI may modify functionality to improve security, usability, accuracy, regulatory compliance or institutional processes.

12. Third-Party Services

The service may depend on third-party infrastructure such as Render, Neon, Cloudinary, GitHub, Google services, DNS/domain providers, and other approved suppliers. Those providers operate under their own service terms, technical limits and availability commitments. MTTI may replace or reconfigure providers when reasonably necessary.

13. Security

Users must promptly report suspected account compromise, unauthorized access, incorrect high-impact records, or security concerns. MTTI may reset passwords, revoke sessions, restrict accounts, rotate credentials, preserve logs, or take other reasonable steps to protect the Institute, its users and its information systems.

14. Suspension and Termination

MTTI may suspend or terminate access where reasonably necessary for security, policy enforcement, role changes, separation from the institution, legal compliance, investigation of misconduct, or protection of institutional records. Where appropriate, access may be restored after the underlying issue is resolved.

15. Disclaimer and Limitation

The platform is provided as an institutional operational service and will be maintained with reasonable care. To the extent permitted by applicable law, MTTI is not responsible for losses caused solely by events outside its reasonable control, including failures of third-party infrastructure, national or international connectivity, unauthorized user conduct, or force-majeure events.

Nothing in these terms excludes rights or responsibilities that cannot lawfully be excluded.

16. Governing Law and Institutional Rules

These terms are governed by the laws of the Republic of Zambia. Use of the platform is also subject to applicable MTTI regulations, academic rules, employment procedures, records-management requirements, data-protection obligations, and lawful directives issued by competent authorities.

17. Changes to These Terms

MTTI may update these terms when services, legal requirements or institutional procedures change. The latest version will be published at https://mongutradesinstitute.com/terms with its effective date.
